Travel Grant Expense Reporter: Build Grant Reports Free & Online

Travel grant reports are usually assembled in a panic the night before the deadline, from scattered receipts and half-remembered amounts. This free reporter turns expense lines into a clean report grouped by category, with a grand total, so the report writes itself as expenses arrive.

What the tool does

You paste expenses as Category | Amount | Description, and the tool groups them by category with a subtotal per category and a grand total at the bottom. Grouping matches how funders read reports: they check category totals against the grant’s budget lines, not a long undifferentiated list. The report is plain and printable in structure, and nothing you type leaves your browser, which matters when expense lines include personal travel details.

How to use it

Enter expenses as they happen, using the funder’s own category names, such as flights, lodging, and subsistence, rather than inventing your own, so the report maps directly onto the grant budget. Keep amounts in one currency, converting at the rate your funder specifies, and write descriptions a stranger could understand, such as hotel, three nights, rather than hotel. Press the button at the end of the trip, check each category total against its budget line, and attach receipts separately as the funder requires.

Worked example

A trip produces four expenses: flights 420 for a return flight, lodging 300 for a hotel over three nights, lodging 120 for a second hotel for one night, and meals 85 across the trip. The report groups lodging into 420, shows flights at 420, meals at 85, and a grand total of 925. The grouped view immediately shows that lodging matches flights, which is the kind of symmetry a funder checks first, and it reveals any category that has overspent its budget line before submission.

Reading the results honestly

A total is not a claim until receipts support it. Expenses without receipts, or with amounts that do not match receipts, will be questioned or rejected, however tidy the report looks. Also watch currency: mixing currencies in one list produces a grand total that means nothing, and a funder will notice. If an expense falls outside the grant’s eligible categories, list it honestly and mark it as personal or ineligible rather than forcing it into a category where it does not belong.

Honest limits

This tool adds numbers you give. It does not check eligibility, convert currencies, store receipts, verify amounts, or submit anything to a funder. Category names are free text, so flights and Flights will count as separate categories unless you spell them consistently. Use it to assemble a clean report, then follow your funder’s submission process and keep receipts for the period the funder requires.

Practical tips

Photograph every receipt the day you receive it, and store the photos in one folder named for the trip. Reconcile the report weekly during long trips, not at the end, since a missing receipt is easier to replace while you are still in the city. Keep a small personal float separate from grant money, so personal spending never mixes with the report.

When a funder queries a category

Queries usually target one category that looks high against its budget line, and the best answer is the grouped report plus the receipts for that category, sent promptly and without defensiveness. If the query reveals a genuine error, correct it openly and resubmit, since funders treat honest corrections far better than defended mistakes. Keep the report and receipts until the funder confirms the grant is closed, which can be months after the trip, and note the funder’s retention rules in the same folder.
