Extensions live in email threads, and token balances live in memory. Both fail at scale. This free grace-period manager turns a pasted list into computed new due dates and remaining token balances for every student. No sign-up, and the math happens in your browser.
What this tool does
Grace systems only work when the accounting is visible. A student who does not know their token balance cannot plan, and a teacher who does not know it cannot enforce fairly. This tool makes both numbers explicit for every entry.
Each student starts with two tokens per term. Using a token buys an extension; the tool adds the extension days to the original due date and subtracts used tokens from the starting balance. The result is a clean table you can check at a glance.
Token systems beat case-by-case excuses because they remove negotiation. Students manage their own emergencies, teachers stop judging stories, and the same rule serves the quiet student and the confident one equally.
How to use it
- Paste one entry per line: Student | Due date | Extension days | Tokens used.
- Use YYYY-MM-DD dates so the math works.
- Click calculate extensions.
- Share each student new due date and remaining balance.
Tokens used counts all tokens spent so far this term, including this extension if it cost one. The balance shown is what remains after that count.
Worked example
Ana is due 2026-11-01, takes 3 extension days, and has used 1 token. Her new due date is 2026-11-04, and she has 1 token left. Ben is due the same day, takes no extension, but has already used 2 tokens, so his balance shows no tokens left.
When Ben asks for another extension, the teacher has a factual answer instead of a judgment call: the balance is zero, and the rule applies to everyone. Ben can still submit late under the course late policy, but not on a token he does not have.
At term end, the table doubles as evidence. If a student disputes a late penalty, the teacher shows the dated entries and balances rather than reconstructing them from email.
Honest limits
This tracker assumes two tokens per term and simple calendar-day extensions. Courses with different token counts or business-day rules should adjust the numbers by hand after computing, and state their own rule in the syllabus.
Tips
Tell students their balance after every use. A balance students can see gets managed; a balance they cannot see gets spent accidentally and disputed loudly.
Common mistakes
The classic mistake is granting extensions without recording them. Unrecorded extensions become precedents: one student learns that asking works, others learn that rules bend, and the system quietly becomes case-by-case again. Record every extension, even the small ones.
How it fits your week
Update the tracker the day an extension is granted, not at grading time. A two-minute update now prevents a twenty-minute reconstruction later, when dates and promises have blurred.
Late work policy is where teacher fairness is most visibly tested, because every student watches how extensions are handled. A token system with visible accounting passes that test: the same starting balance, the same arithmetic, the same answer for everyone. This manager supplies the arithmetic and the record, so teachers can focus on teaching instead of bookkeeping. Use it from week one, share balances openly, and let the system carry the fairness while you carry the teaching.
FAQ
What if a student needs more than tokens allow?
Handle it outside the token system, as an documented exception for genuine emergencies, and record it separately. Exceptions should be rare, written down, and never presented as a new rule.
Do unused tokens carry to next term?
No, in this tracker each term starts fresh at two tokens. State that clearly in the syllabus so students use tokens when they need them instead of hoarding them.
