An invoice that gets paid
An invoice is not just a bill. It is the document that turns finished work into money, and the way it is written affects how fast it gets paid. A clear invoice, with the right number, the right dates, itemised work and a clear total, is easy to approve. A vague invoice, with one lump sum and no detail, invites questions, delays and disputes. Freelancers, small businesses and tradespeople all learn this lesson, usually after their first slow payment.
This tool makes a professional printable invoice as a PDF. You enter the seller, the buyer, an invoice number, a date, your items one per line as description, quantity and price, a tax rate, and optional notes. The tool calculates the subtotal, tax and total due, and builds a clean invoice ready to print or send.
How the invoice is built
The layout follows the standard order a buyer expects. At the top, the word Invoice, then the invoice number and date, so the document can be filed and referenced. Below that, the seller and buyer lines, so both sides are identified without hunting. Then the item table, with each description, its quantity and unit price, and its line amount. Finally the subtotal, the tax line, and the total due in bold, with any notes underneath.
Items use one simple format: description, quantity, price. Design work, 5, 40.00 means five units of design work at 40.00 each, which is 200.00. The tool multiplies and adds everything in your browser, and the PDF is generated with pdf-lib on portrait A4, so it prints cleanly and opens on any device.
Numbering, dates and terms
Number your invoices in order and never reuse a number. INV-001, INV-002, INV-003 is a fine system for a small business, and it makes every invoice findable in seconds. The date should be the date you issue the invoice, not the date the work finished, unless your terms say otherwise. If you offer payment terms, put them in the notes field: Payment due within 14 days, or Payment due on receipt, or whatever you agreed. Terms written on the invoice are terms the buyer accepted by paying past invoices, while terms only mentioned in conversation are terms you will have to argue about.
Keep the notes field for practical details, not marketing. Bank details for payment, a reference number the buyer asked for, or a short thank-you all belong there. A long sales message does not. The invoice is a business document, and buyers respect it more when it reads like one.
Describing work so it gets approved
Describe each item the way the buyer will recognise it. Website homepage design, 5 hours is better than Services, because the buyer can match it to the work they saw. Break large jobs into a few clear lines instead of one lump sum, and the buyer can approve it without asking for a breakdown, which is the delay you are trying to avoid. If a price was agreed in advance, use exactly that price, and if something changed, say so in the notes before the buyer has to ask.
Check the total twice before sending. An invoice total that does not match its line items is the fastest way to lose a buyer’s confidence, and it usually means the payment waits while someone checks your maths. This tool does the maths for you, but a final glance at the items and quantities is still worth thirty seconds.
From invoice to payment to records
Send the invoice promptly, on the day the work finishes or the goods ship, not at the end of the month. Prompt invoices get paid faster, partly because the work is fresh in the buyer’s mind and partly because they land before the buyer’s own payment run. If payment is late, follow up politely with the invoice number and total, and keep a copy of every follow-up. A calm paper trail resolves most late payments without conflict.
Keep a copy of every invoice you send, filed by number, and match each one to its payment when it arrives. At tax time, that file is your income record, and it answers questions from accountants and tax authorities without a scramble. An invoice is also different from a receipt: the invoice asks for payment, and the receipt, made with the receipt tool on this site, confirms payment once it arrives.
Privacy, in plain words
Your seller, buyer, items and notes are used only to build the PDF on your device. Nothing is uploaded, nothing is stored, and no account is needed.
Common questions
What format do items use? One item per line, as description, quantity, price. For example: Design work, 5, 40.00.
Can I add tax? Yes. Enter your tax percentage and the tool shows a separate tax line and adds it to the total due.
What should the invoice number be? Any unique number in sequence works. INV-001 is a good start, and each new invoice should take the next number.
Is this invoice legally valid? Validity depends on local rules, which may require specific details like tax numbers. Check the requirements in your area and add any required details to the seller or notes fields.
