Study groups die in the scheduling chat

Most study groups do not fail because members are lazy. They fail because finding a meeting time takes thirty messages, three polls and a week of “any time works for me” that turns out to mean nothing of the sort. By the time a time is agreed, the exam has moved closer and enthusiasm has faded. This planner cuts that process to one step. Each person lists their free slots, and the tool returns only the slots everyone shares. No polls, no threads, no guessing.

The method is intersection: a slot counts only if it appears on every person’s list. If three people list Monday 10:00, Tuesday 14:00 and Wednesday 09:00 between them, and only Monday 10:00 appears on all three lists, then Monday 10:00 is the meeting time. If no slot appears on all lists, the tool says so plainly, instead of inventing a compromise nobody can attend. That honest “no slot” is useful, because it tells the group to ask for more options or split into smaller meetings at once.

How to use the planner

  1. Agree on the slot format before anyone types. “Mon 10:00” works only if everyone writes days and times the same way.
  2. Each person lists every slot they are genuinely free, not just their favourite times. More honest slots mean more common slots.
  3. Enter two or three people’s lists. The third list is optional, so pairs can use the tool too.
  4. Read the common slots. If several exist, pick the earliest, before schedules change.
  5. If no slot is common, ask each person for one extra slot, or split the group into two smaller groups that each share a time.
  6. Confirm the chosen slot in the group chat at once, and set a recurring time if the group meets weekly.

A worked example

Take three students. Anna is free Monday 10:00, Tuesday 14:00 and Wednesday 09:00. Ben is free Monday 10:00, Wednesday 09:00 and Friday 11:00. Cara is free Monday 10:00 and Thursday 15:00. The only slot on all three lists is Monday 10:00, so the group meets then. Without the planner, the group might have spent days debating Tuesday, which Cara cannot attend, or Friday, which only Ben can attend.

Now suppose Cara adds Wednesday 09:00 to her list. The common slots become Monday 10:00 and Wednesday 09:00, giving the group a backup meeting or a second session before the exam. One extra honest slot doubled the group’s options. That is why the planner asks for every free slot, not just the first choice.

Tips for groups that actually meet

  • Fix a regular weekly slot. Deciding once beats deciding every week.
  • Keep groups to three or four people. Larger groups have almost no common slots and drift into lectures, not discussions.
  • Set an agenda before each meeting: one topic, one set of questions, one person to lead.
  • End each meeting by confirming the next one. Groups that leave without a next date rarely meet again.
  • Meet for ninety minutes at most. Longer meetings feel productive and teach less than two focused sessions.

Common mistakes

The most common mistake is writing vague availability like “mornings” or “weekends”. Vague slots cannot be matched, and the group wastes another round clarifying them. Another mistake is listing only preferred times. A slot you merely dislike is still a slot, and groups that demand only favourite times rarely meet at all. A third mistake is letting one person’s schedule dominate. If the same person always sets the time, the others quietly stop coming, and the group dies politely.

Who uses a meeting planner

Students use it for revision groups and project teams. Tutors use it to schedule small-group sessions. Societies use it to find committee times. Remote classmates use it across time zones, where a shared slot list prevents the usual confusion about whose evening it is. List honestly, intersect the lists, and the meeting arranges itself.
